Chat & AI Assistant Policy
Effective: 7 November 2025
1. Overview
The FutureAI chat assistant provides a convenient way to ask questions about our services. Messages are processed in accordance with the Australian Privacy Act 1988, the Australian Privacy Principles, and this policy. By engaging with the chat, you consent to the practices described below.
2. Information Collected
- Chat content you type, including any personal or sensitive information you choose to share.
- Bot responses generated from internal knowledge or approved AI services, stored alongside your conversation for quality assurance.
- Technical metadata such as session identifier, timestamps, browser details, and approximate location to secure the service and diagnose issues.
Please avoid sharing health, financial, or other highly sensitive data unless necessary. If such data is provided, we treat it in line with APP 3 (collection) and APP 11 (security).
3. Use of Information
Your chat data may be used to:
- Answer your requests and provide tailored recommendations.
- Escalate conversations to a human specialist when required.
- Improve our assistant, including training future versions with anonymised or aggregated content.
- Detect misuse, security threats, or policy violations consistent with the OAIC's guidance on AI system governance.
4. Sharing & Third Parties
FutureAI may leverage trusted processors to host chat infrastructure and, where disclosed, to generate AI responses. These processors are contractually bound to privacy and security controls equivalent to those required under the Australian Privacy Act. We do not sell or rent chat transcripts.
5. Retention & Deletion
Chat transcripts are stored for up to 12 months from your last interaction, or longer if an ongoing engagement requires it. Transcripts can be deleted sooner upon request by contacting our Privacy Officer. Aggregated analytics that cannot reasonably identify you may be retained beyond this period.
6. Your Choices
You may stop the chat at any time or request a copy/deletion of your transcript by emailing kmahsan@futureai.com.au. To withdraw marketing consent provided during the session, include your contact details so we can update our records promptly.
7. Complaints
If you believe your privacy has been compromised, contact FutureAI at kmahsan@futureai.com.au or +61 2 1234 5678. You may also lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you are unsatisfied with our response.
